How to Set Up a Successful Activation

Design

Whether you’re meeting with a Studio to craft a design concept, or if you already have a design in mind and need help figuring out the details, it’s essential that your design tells a story for it to be an immersive and engaging experience for the audience. Event attendees are sophisticated and in order to have an impact your visuals need to be thought through on many levels, while referencing brand and message but most importantly fit within your budget.

Fabrication

As a companion to design, making sure your vision is brought to reality requires forethought in order to stay on time and in budget. There are the typical design review activities such as asking to see material samples, mock-ups and progress photos during fabrication to ensure that there aren’t any unwanted surprises when your activation goes live. But also having a detailed run of show and workback schedule right from the beginning with milestones for all parties to reference is essential for project success.

Site Logistics and Event Production

Site logistics, event production and a well thought out game plan are perhaps the biggest key to having a successful event. Ask questions about site locations and arrival times for installation, is there parking, is there truck access where are washroom facilities, all the nitty gritty details. For example, some activations require permitting, staffing and special methods of installation, but before getting too far into the process and falling in love with a venue for your activation, you need to know what your activations specific needs are and plan accordingly for them. No one likes to stand around at a jobsite scratching their head trying to solve a problem that could have been prepared for with the proper forethought.

Activation

After your design has been fabricated, the site logistics have been ironed out and the trucks are packed, the last steps are delivery and installation. In order for all of these things to run smoothly, you and your fabrication studio need to prepare a proper install plan, test accordingly and budget enough time for any issues. This will ensure a smooth launch of your experiential marketing event.


Setting up a successful activation boils down to asking the right questions, going in with a strong plan, being prepared for the unknown and working with a team that is dedicated to bringing your idea into reality.
